Bring your data with you

Most of what you need moves by file in an afternoon. This page is the whole list — what imports into Nexa and SIMPL, what you switch on once, and what stays behind — so you know before you buy.

1. Export

Download your clients, services, jobs, open invoices, tasks, expenses and bank history from the tool you use now. Where to find it for each tool is below.

2. Import

In Nexa, Settings → System → Import from another tool lists every import on one screen; in SIMPL, use its import. Pick the file. Columns are matched by name. Nexa then shows which column each field comes from, and you can pick a different one before importing; in SIMPL, if yours don’t match, paste them into our template first.

3. Check, then cancel

Run both for a week. Once your clients and numbers look right in Nexa, download a final backup from the old tool and cancel it.

Clients and leads

Columns Business Contact Email Phone Address City State ZIP Status Type Tags Source Notes

Needs a Business or a Contact column

Columns are matched by header name, in English or Spanish, so Company, Customer Name, E-mail, Mobile, Empresa or Correo work as they are. Separate First Name and Last Name columns are joined into one contact name, and Street, City, State and ZIP columns into the client’s address. Status words from other tools (Active, Archived, Proposal) are matched to Nexa’s stages.

Rows that match an existing client by business name, email or phone are skipped, so re-importing is safe.

Services and price list

Columns Name Description Category Unit Price Unit Cost Duration

Needs a Name or Service column

Reads the Products & Services export from Jobber, QuickBooks and similar tools as it comes. Rows whose type or category says Product or Inventory go to Products; the rest become services. A rate whose unit or name says hour is set as hourly.

A service with the same name is updated with the new price instead of added twice.

Imported services are not on your booking page until you turn Bookable on for each one.

Jobs

Columns Job # Client Title Start End Status Total Notes

Needs a Title, Job or Client column

Reads the job exports from Jobber and Housecall Pro as they come. Date and time can be in one column or two. Status words are matched to Pending, Active or Complete; cancelled jobs are left out. A client that isn’t in Nexa yet is added.

A job with the same title, client and date is skipped.

Jobs come in one by one. For work that repeats, open the job and set how often.

Open invoices

Columns Invoice # Client Issued date Due date Total Balance Status

Needs a Total, Amount or Balance column

Only what is still owed comes in: paid and void invoices are left out, and a partly paid invoice keeps the part already paid. The old invoice number is kept. Reminders whose day already passed are not sent again, so importing doesn’t email a batch of clients at once.

An invoice whose number is already in Nexa is skipped.

Open tasks

Columns Task Due Date Priority Completed Related To Notes

Needs a Task or Title column

Finished tasks are left out. A task is linked to a client only when that client is already in Nexa.

A task with the same title and due date is skipped.

Time entries

Columns Date Client Job Task Notes Hours Employee Hourly rate Billed

Needs an Hours or Duration column, or Start and End times

Reads the time exports from Toggl, Harvest, Clockify and Jobber timesheets as they come. Durations like 1:30:00, 1.5 or 1h 30m work, or the hours are worked out from start and end times. An entry is linked to a job by job # or title and to a crew member by name; a client that isn’t in Nexa yet is added.

An entry with the same date, hours, description and job is skipped.

Imported time counts as already billed, so old hours don’t pile up in Unbilled Time. Only rows your file marks as not billed yet (a Billed or Invoiced column saying No) come in ready to invoice.

Expenses

Columns Date Vendor Amount Category

Needs an Amount column

Vendor can also be called Merchant, Payee or Description. Spanish headers (Fecha, Proveedor, Concepto, Monto, Importe) work too.

A row with the same vendor, amount and date as an existing expense is skipped.

  • Amounts can carry $ and thousands commas ($1,234.50), and a comma inside a vendor name is fine when the cell is quoted, as exports do.
  • A bank file that shows spending as negative numbers is read as money out. In a file with both signs, only the positive rows become expenses.
  • Use Nexa’s category words: supplies, travel, mileage, meals, software, equipment, utilities, marketing, professional, insurance, rent, payroll, inventory, taxes, other.

Bank and card transactions

Columns Date Description Amount

Downloads from Chase, Bank of America, Wells Fargo, Capital One, Discover, American Express, Citi, BBVA México, Banorte and Santander México are recognized as they come.

Banking can also connect to your bank directly.

What you switch on once

Your records come in by file. Two settings stay with you to turn on.

What stays behind

Moving your money data into SIMPL

SIMPL is the money side on its own — budget, spending, accounts. It takes your bank history and your old budgeting app.

WhereFile
Bank and card transactionsBank → Import CSVCSV, OFX, QFX
The same bank downloads Nexa recognizes, plus Mint exports.
SIMPL can also connect to your bank directly.
YNAB budgetBank → Import from YNAB / Mint / CSVThe YNAB budget export (.json) — brings spending and account names
Mint historyBank → Import from YNAB / Mint / CSVThe Mint transactions CSV
Any other spreadsheet of spendingBank → Import from YNAB / Mint / CSVCSV with a date, a description and an amount

Where to find the export in your current tool

Menu names change between versions. If the path below doesn’t match, search the tool’s help for “export”. Nexa takes an Excel (.xlsx) export as it is; for SIMPL, or an old .xls, open the file and Save As CSV.

Any other tool

Look in Settings, Reports or your account page for Export or Download, and choose CSV (or Excel, for Nexa). Export clients (or customers, contacts), services, jobs, unpaid invoices, open tasks, time entries, expenses, and your bank or card history. If a column name doesn’t match, pick the right column on Nexa’s import screen, or copy the columns into the matching template and import that.

Import templates

Each template has the exact column names the importer looks for, with sample rows. Replace the rows with yours and keep the header line.

Questions people ask before they switch

Can I import my invoices?

Yes, the open ones. Export your unpaid invoices as a CSV and import them under Settings → System → Import from another tool. Each comes in with its number, client, due date and what is still owed; paid and void invoices are left out. Keep the export of past invoices as your record.

Do I lose my client addresses?

No. An Address or Street column, plus City, State and ZIP when your export splits them, comes in as the client’s address.

What if I import the same file twice?

Nothing doubles. Clients that match by business name, email or phone are skipped; so are expenses with the same vendor, amount and date, invoices with the same number, and jobs and tasks with the same title and date. Services with the same name get the new price.

How long does it take?

The exports are the slow part — a few minutes each. Each import takes seconds.

Can I keep my old tool running while I try it?

Yes, and you should. Cancel only once your clients and numbers check out in Nexa.
